Data Catalog Manager → Submit and Track Requests

Users with the Data Catalog User role can request access to assets, submit metadata changes, and monitor the status of their requests. Data Governors review and approve those access and change requests. This ensures controlled governance and accountability across data assets.

The approval workflow, including request submission, tracking, and approvals, is available starting 2026.1.0

Request Access

Data Catalog Users can request to gain View, Edit, or Share access permissions to assets they do not have access to.

  1. From the Data Catalog home page, navigate to the Data Assets section.
  2. Select an asset, such as Business Schema, for which you do not have access.
  3. Open the asset, then select the Tables or Columns tab (depending on the desired level).
  4. Select the Information (i) icon in the top-right corner of the page to open the Information panel.
  5. Select Request Access.
  6. In the Request Access dialog:
    • Select the Permission type from the drop-down list: View, Share, or Edit.
    • (Optional) Add details in the Notes section.
  7. Select Submit.
    • A confirmation message appears, indicating the request has been submitted.
    • The Information panel displays Pending approval until the request is approved.

Request Change

When a Data Catalog User makes changes to asset metadata, such as adding or updating domains, glossary terms, tags, or documentation, or when certifying an asset or submitting a review, a request is automatically submitted to the Data Governor. All change requests can be viewed and tracked in the Requests panel for approval.

Track submitted requests

Data Catalog Users can view and track the status of requests they have submitted, including access requests and change requests.

Note

Any changes to assets, including assigning a Domain, Glossary term, or updates to Documentation, require approval from the Data Governor before they take effect.

View and track requests

  1. From the Data Catalog home page, navigate to the Data Assets section.
  2. Select Explore All.
  3. In the Action bar, select Requests.
  4. In the My Requests dialog, you can:
    • Use the Filter bar to filter by asset name.
    • Filter by Type, for example, Business Schema.
    • Filter by Status: Pending, Accepted, Rejected, or Cancelled.
    • Filter by Request Change For: Domain, Glossary, Documentation, Certification, and Review.

Each request shows the following information:

  • Request Change For – The asset or component the change applies to.
  • Asset – The specific asset name.
  • Status – The current status of the request.
  • Requested At – The date and time the request was submitted.
  • Reviewer – The Data Governor who reviews the request.
  • Reviewed At – The date and time the request was reviewed.
  • Actions
    • View – Open the request details.
    • Delete – Removes a request that has not yet been processed.

Approve Requests

When a Data Catalog User submits an access request, Incorta notifies the Data Governor in two ways:

  • Incorta Analytics Service notification
  • Email with the subject “Request for asset access,” including the requester’s name and email. The email contains a “Review request in Incorta” link that the owner can select to approve the request.

Grant access

  1. In the Share dialog, select the eye icon to the right of the With: field to set the access level: Can View, Can Share, or Can Edit.
  2. Select Share.
    • A confirmation message appears, indicating that access has been shared.
    • The requester receives an email notification confirming the request approval.
