About External Assets Manager

The External Assets Manager enables Data Governors to manage systems outside Incorta, including upstream sources, such as ERP systems and data warehouses, as well as downstream tools, such as BI and reporting platforms. By integrating these external points, users gain complete end-to-end lineage visibility, extending data governance across the entire data journey.

The External Assets Manager is available starting 2026.5.0.

External Assets Manager Access Permissions

  • Users with the SuperRole or Data Governor role can manage external assets.
  • Data Catalog Users can browse these assets and their lineage in view-only mode, providing them with the full context of the data’s origin and destination.

To access the External Assets Manager, in the Navigation bar, select Data Governance → External Assets.

The External Assets Manager consists of the following:

Action bar

The Action bar has the following options:

  • + New menu with the following available options:

    • New External Asset
    • Import
  • More Options (⋮) menu with the following available option:

    • Export

Toolbar

The toolbar provides controls to explore and manage external assets:

List view

Each external asset appears as a row in the list view. The following table shows the available properties:

System TypeThe system type from the Upstream or Downstream categories
Entity TypeThe type of entity represented by the asset
Sub-Entity TypeThe type of sub-entity represented by the external asset, available only when a downstream system type is selected
Creation DateThe date and time the external asset was created
Last ModifiedThe date and time the external asset was last modified
  • The default sort in the list view is ascending by Name.
  • To change the sort for external assets select the Name, System Type, Entity Type, Creation Date, or Last Modified column heading, and change the arrow to point down to sort descending, and up to sort ascending.

External Assets Manager Actions

Using the External Assets Manager, you can perform the following actions:

Create an external asset

  1. Navigate to Data Governance → External Assets
  2. In the Action bar, select + New → External Asset.
  3. In the Define an External Asset dialog, provide the following details:
    • Name: Enter a unique name for the asset.
    • Description (Optional): Add context (up to 500 characters).
    • URL (Optional): Provide a link to the external system or resource.
  4. Define the System Type (Required):
    • Upstream: Choose from Database, Data Warehouse, or SaaS.
    • Downstream: Choose from Reporting or Destination.
  5. Select the Entity Type (Required):
    • For Upstream: Table, Schema, View, API, or Other.
    • For Downstream: Report, Dashboard, API, or Other.
  6. Sub-Entity Type (Downstream only): Specify the platform, such as Power BI, Tableau, or Other.
  7. Custom Properties (Optional): Select + Add Property to define metadata as name/value pairs.
  8. Associate Incorta Assets:
    • For Upstream: Select the relevant Data Sources from the list.
    • For Downstream: Use the Schemas / Business Schemas tabs to select the specific Tables or Views to associate with this asset.
  9. Select Save.

Import external assets

  • In the Action bar, select + New → Import, then upload a .zip folder containing external assets.

Export external assets

  • In the Action bar, select More Options (⋮) → Export to export all available external assets.

View external asset lineage

  • Select the Data Lineage icon next to an external asset to view its relationship with associated Incorta assets.
Note

Viewing lineage from a specific External Asset provides a focused view of only that asset's journey into Incorta. To see the complete picture of all external systems feeding into a single Incorta Data Source, view the lineage directly from the Data Source or Schema level instead.

Edit an external asset

  • Select the Edit (pencil) icon next to an external asset to update its details.

Delete an external asset

  • Select the Delete (trash) icon next to an external asset to remove it.

Audit external assets

All changes and updates to External Assets are auditable. Audit files are stored in the external_assets directory, accessible from Data → Local Data Files → data_catalog_audit
