Concepts → Policy Workflow (Preview)
Overview
To support data governance compliance, policies progress through a defined set of states that control how changes are reviewed and approved. Data Governors and SuperRole users trigger these transitions, and stakeholders are notified in-app whenever a policy changes state.

The policy workflow is available starting 2026.5.0.

User roles and permissions
Only users with the Data Governor role or SuperRole can manage policy workflow actions and transitions.
Workflow states
| State | Description |
|---|---|
| Draft | The initial state where a policy is created or edited. Policies return to this state if withdrawn or rejected. |
| In Review | The policy is submitted for validation and approval. Editing is locked during this state. |
| Rejected | The policy did not pass review and is returned to Draft for updates. |
| Published | The policy is finalized and active. Only the latest published version is visible in the Information Panel. |
| Deprecated | The policy is retired and no longer active. |
Workflow rules
- Editing Lock: Policies cannot be edited while in the In Review state. To make changes, the policy must be withdrawn to Draft.
- Visibility: Only the latest published version is visible in the Information Panel. Draft versions remain hidden.
- Notifications: Users receive in-app notifications when a policy changes state.
